Your receptionist uses your saved services, hours, policies, and FAQs to answer questions. Enable tasks such as quote enquiries, callbacks, and waitlists, or create your own with the questions and instructions your business needs.
Email replies you can review
Generate and edit drafts in your dashboard, then send when you’re ready. Enable Auto reply when you want the agent to respond automatically.
Help with appointment requests
Use your booking options and connected Google Calendar to support booking, rescheduling, cancellation, and confirmation workflows.
Setup
Set up your AI receptionist.
Give your receptionist your business details, choose what it can help with, and try real customer scenarios before using it with customers.
01 / YOUR WORKSPACE
Create your account
Sign up, verify your email, and log in. Your dashboard brings your business settings, connected tools, email inbox, and saved customer requests together.
02 / YOUR BUSINESS
Add the details customers ask about
Open Business details and add your contact information, opening hours, services, FAQs, and instructions. If you take appointments, add your booking types, durations, prices, and policies. Save your changes so the receptionist can use them.
03 / YOUR TASKS
Choose what your receptionist collects
In Receptionist tasks, enable the tasks you need, such as quote enquiries, callbacks, or waitlists. Tasks are off by default. Customize the questions and instructions, or add your own task. Save your settings and keep tasks on Testing only while you try them.
04 / YOUR CONNECTIONS
Connect your email and booking calendar
Connect Gmail to handle customer emails in your dashboard. Connect Google Calendar if you want the receptionist to check availability and book, reschedule, or cancel appointments. Review the access requested when connecting each account.
05 / YOUR TEST RUN
Try a conversation as a customer
Use Test your agent’s email replies in the dashboard. Ask questions, request a quote, correct a detail, and send follow-ups. It uses your saved business details and enabled tasks, including tasks kept in testing mode. Check the replies and collected information, then refine your settings.
06 / YOUR CUSTOMERS
Start with review, then choose Auto reply
When your tasks are ready, choose Testing and incoming emails. Keep Auto reply off to review, edit, and send email drafts yourself. Enable it when you want automatic replies. Your team can review collected details and conversations in Receptionist requests and manage the work that needs a person.
Setup and practical questions
Can I try it before connecting Gmail or Google Calendar?
Yes. In the public demo, edit the sample business details, enable receptionist tasks, and try customer messages and corrections. Collected information appears under Saved demo requests. No signup or Gmail connection is needed. For live appointment availability and changes, create an account and connect Google Calendar in your dashboard.
How is the task conversation preview different from the email tester?
Try a conversation inside Receptionist tasks lets you preview how a task collects information without changing appointments. The dashboard email tester lets you try an email conversation, including appointment actions when a calendar is connected. Both use your saved, enabled tasks. Test requests stay separate from customer requests under Test previews.
Where do enquiries that need my team go?
Collected quotes, callbacks, support enquiries, and other enabled tasks appear in Receptionist requests, beside your email inbox. Your team can read the conversation, review the details, assign work, and update its status. Recording a request does not mean the team has completed it.
Can I review customer replies before they are sent?
Yes. Keep Auto reply off and review drafts in your Email inbox. Edit the reply and select Send reply when it is ready. Save to Gmail keeps a draft without sending it. You can turn Auto reply on or off later from your dashboard.
How is the receptionist built, and how does it handle an email?
The receptionist is built with Python and FastAPI, with an HTML, CSS, and JavaScript dashboard. OpenAI models interpret requests and prepare responses. Supabase supports sign-in and stored account and business information, while an application database stores receptionist task settings and requests. Google’s APIs connect Gmail and Google Calendar.
The application reads a customer email from your connected Gmail account.
It loads your saved business details, enabled tasks, and the conversation history.
The AI identifies the request and what information is needed. It can answer a question, continue a task, or ask for a missing detail.
Application code checks the requirements before saving a request or carrying out a supported action. Appointment changes include checking the booking details, business hours, and calendar availability where needed.
The outcome is used to prepare a reply for review or automatic delivery, depending on your settings.
You customize the receptionist through the business information, instructions, and tasks you save. Setting up your business does not require training a new AI model.
Does it keep working when I close the dashboard?
Yes, when Auto reply is enabled. The receptionist runs on a server and checks incoming email in the background; your browser does not need to stay open. Processing needs the service to be running and your Gmail connection to remain authorized. The dashboard lets you review activity and change your settings when you return.
What information does the receptionist use and store?
It uses your saved business details and relevant customer conversations to handle the features you enable. Stored information can include account records, messages, generated drafts, appointment details, and collected requests. Relevant information is processed by the AI and connected-service providers involved.
You can turn off Auto reply or disconnect supported integrations. Disconnecting does not undo completed actions or automatically delete stored records. See the privacy notice or contact integrationworks.ca@gmail.com for information-handling questions or requests concerning your data.
Can I use phone calls, texts, or Microsoft email?
The email receptionist currently supports Gmail and Google Calendar. Microsoft connections and phone features, including calls and texts, are in development.
